I originally posted this project a few months ago but then everything got stopped because of Covid-19. So, I have done a bit more work on the requirements and I am posting it again here. We are a catering equipment service company based in Dublin, Ireland. We carry out repairs and maintenance on a wide range of commercial catering appliances for our customers. We have an access database for managing service requests from our customers. This is a simplified version of the Customer Service database template from Microsoft. At the moment we use the database to keep track of calls from our customers and email them to our technicians. We would like to enhance this database to do more. In the first phase, we wish to make enhancements to allow us to produce quotations for spare parts and keep records of faults, repairs and parts fitted to appliances. I have attached a document giving more detail on upgrades we require in this phase.

I have gone through the attached pdf and have got some questions.. 1- ‘appliance-centred’ system where we ‘add’ appliances to cases.. So do you need a screen where user select case and then appliance and map them ? Will there be a need to assign multiple appliances to a single case or one to one relation is there ? 2-add’ replacement parts to that appliance.. Parts are already defined in the existing database or we will add on the fly when we are working on Quotation ? 3- attach documents to cases... will we need to store the documents in the database or save on physical hard disk and save document path in database table ? (it covers point 6 of document..i guess) Looking forward to have a chat with you to discuss further.

Hello there, I am interested in the project. I have gone through the requirement details document and I am sure I can implement the requested features. For addition of new appliances and parts data can be added to a new table as master records and in frontend a list loaded from those data can be presented for user to choose. For storing documents it is not recommended to store the data directly into the database as it'll increase the chance of data corruption and affect performance of database. The ideal way would be store the files in filesystem, network drive and use the file path only in database. Also it is advisable to keep the data and frontend in two different files. Alan, I would be pleased to make your required changes and provide support for your Access database on an ongoing basis. I am very familiar with you type of application – one of my main clients used to provide a catering equipment repair service. Although your database does need to be split it will not solve the bloat problem. Your backend database will simply bloat instead. You need to store the documents separately and provide links to them from within the database. This type of docuemnet management is another of my specialities. Hello! Thank you very much for describing the requirements in the attached PDF document. I understood what was described and noticed that there are two critical points that are: 1. The size of the database 2. Instability when the database is accessed by multiple users. Below is my strategy for these critical points: 1. The database does not necessarily need to be divided (I will analyze your database before deciding). 2. The scanned images, photos and files will not be kept in the database, but only the path of the directory where the file is located, thus the size of the database decreases in an incredible way. 3. I will develop an automation to check the size of the database and if necessary, compress it to reduce its size. Know that the divided database (front end and back end) is usually slower than an undivided database), so I will evaluate the cost benefit of each case to be applied in your database. I have been an expert in Access databases for many years. For a client of mine, who is a chain of toy stores across the country, I managed to make a database in Microsoft Access with more than 50 GB of information.

Experienced Solution Architect with over 25 years in the design and development of large applications. Have a good knowledge of MS Access and can develop / add new features to this application. We can split the database and we can also move the backend to some RDBMS as SQL Server / MySQL etc which will make the system more robust.
