Indoor Sports Centre - Self Checkin and Pay system

We have an indoor sports centre that has indoor sporting teams compete in leagues on weeknights. We currently have a manual check-in team card and payment system that often gets convoluted and hard to track. Let alone the inability to search past team payments and records without searching through draws of old cards Teams range from 2 - 10 people and differ in payment price depending on the sport that they choose. The Project: We are looking to accomplish an automated checkin system that allows players to either swip/scan/QR or search a team and touch screen select players and then enter payments until the balance is received or carried over as a debt or credit of the balance. Primary requirements 1. Ability to record separate teams. Including team members, contact information, sport type, weekly or one off payments, record debts and credits for team members and attendance records weekly. 2. Ability to edit and adjust payments from staff from a central system (day sheet) that shows time slots and teams and checkins made and payments either in full (green) or not (red). Edit from this screen 3. Checkin system with swipe card, QR image (potentially on phone) or similar for quick access to team checkin. 4. Ability to search for teams and contact information 5. Use simple device like Ipad or android tablet as the input device, or multiple units at once for multiple team entry. (similar to checkin system at an airport) 6. Use local server and database with backup to cloud server) Secondary objectives 1. Auto payment system (via online merchant) 2. Online payments via website for debts and individual payments (require login system) 3. Create contacts to teams via facebook account link (for ease of entry) 4. Output daily data to excel or csv. Scenario example; A player turns up to sports centre. Walks to sign in terminal and checks in (via swipe/QRscan/search). Team list is displayed on screen with all available players (ability to add new if needed) and the player presses on their name. They then proceed to make payment via staff and payment verification is made and recorded on terminal. (recording amount payed for individual player and balance for team at bottom). Once the entire team has signed in and payed a balance is given and a record of either debt, credit or even amount recorded. (example a team payment equals $91 but only 5 players payed so the total balance is $72 so a debt of $19 is carried for that team to be paid at a later stage. Or if the team pays $95 a credit of $4 is carried for the team and can be used next time they are short. There will also need to be a bulk payment option for teams inputed by a staff member that allows for complete season payement. This means that each week a team simply turns up and checks in and does not require team payments. Penalties can be applied if a team forfiets a week and a dept can be added to a team for payment at a later stage. Nice to haves would be ability to check online for teams and see debts owing. team member payments ect so they can work out who has payed and who has not. At the end of the night a report is printed showing how much has been taken for each sport as a whole and the ability to export the data to CSV or print. Thats about it. Any further ideas are welcome at this stage. A nice intuitive interface is desired with branding and rights to the software after completion. All source code and design will be supplied on completion along with the IP of the software.
