For our European wholesale and distribution company in the hydroponics industry we’re looking for a Virtual Assistant who can make our life easier and smoothen process in our organization.
THE PERSON-
+ EXCELLENT English, both Reading and Writing
+ EXCELLENT organizational skills (Accurate timing to the minute would be perfect)
+ MUST BE Hard Working
+ MUST BE very well spoken and polite, as you will be dealing with my Personal, Private and Commercial contacts
+ American, British, or neutral English accent is a must!
+ You will be required to work between 6 Hours and 8 Hours per day.
+ Should be able to easily write letters which are correctly formatted, spellchecked and have correct grammar.
+ Should be intelligent
+ Must be personable with me, as you are going to be my secretary long term, Its very important that the business relationship is good
+ Skilled in Microsoft Office Word, Excel - THIS CAN BE TRAINED IF YOU ARE HARD WORKING ENOUGH
+ You MUST have a good internet connection, and broadband.
+ You MUST have SKYPE as you are our receptionist. I expect the majority of our communication to be through Skype, as it comes to my phone.
+ Must be able to use a (software) VOIP phone
+ You must be available to take my calls throughout our pre arranged times, or the times specified in the Working hours section
PRIMARY RESPONSIBILITIES-
+ Making calls and sending/answering emails for me to existing or potential customers, employees and partners
+ Sales, create quotes, invoices, packing slips for our warehouse
+ Research and find leads, find potential leads, and send them our information or product samples
+ Handle our orders (we work 100% online, with 3rd party warehouses)
+ Business administration / accounting, prepare invoices, purchase orders ect for our bookkeeper.
+ Guide and streamline our current outsourced jobs like text writing, web development, graphics ect.
SECONDARY RESPONSIBILITIES-
Some of these tasks have employees elsewhere dedicated to them, so you will do bits when others cant.
- Admin / Update our current websites (joomla, wordpress)
- Admin / Update our current e-commerce activities (website, ebay, amazon)
- Admin / Update our social media sites
- Article writing, blog postings, link building, seo ect.
MORE SPECIFIC TASKS TRAINING WILL BE PROVIDED -
+ Using Magento Ecommerce
+ Using Wordpress / Joomla
+ Updating/Managing Ecommerce Catalogues
+ Using our CRM/Accounting system
WORKING PERIOD-
Working Days: Mon - Sat
We will hire you long term, at least 6 months probably a year or more .
Working Hours: approx. 5-8 hours per day. In reality this will average to 6 hours on a normal day rather than 5 or 8.
Working Hours Range: 12:00-6:00pm (Standard European Time – GMT+1) (earlier not possible, later is though)
If i receive multiple EXCELLENT bids, I may place one, two or three of you on a trial period of work.
IN CONCLUSION-
