Your assignment should be in one Microsoft Word document and should contain the following report sections: 1. Title page and Plagiarism Declaration Please ensure that your name and your process is clearly shown. 2. Table of contents Generate this in MsWord (References -> Table of Contents). 3. Introduction Introduce the Assignment, the business process, the assignment purpose, the people you interviewed and how the assignment report is structured. 4. Process Scoping and Stakeholder analysis The BP Trends method was discussed in lectures and some ideas from samples from previous projects are shown in Appendix 2. Include an analysis of all stakeholders for your process. Include your high-level diagram of the existing process with Management activities. Indicate problems and additional activities that should be included in scope. Do a root-cause analysis of your problems and include a discussion where you explain all scoping decisions and problems. Remember your most important stakeholder is the customer. Try and identify the customer’s needs. 5. Business Case Follow the template and samples provided in Appendix 3. Provide a Business Case for changing your process. Estimates need to be realistic and explained. 6. Organisational data / Master data Explain any organisational data /elements and Master data required by the business process. Describe these and show one of two useful screen shots of relevant views of each Master data or Organisational data type. 7. Business Process Do a complete analysis of the existing process following the recommendations in the BP Trends Methodology. In your discussion include: - A detailed BPMN collaboration diagram of the business process. Include management and reporting steps. Number your activities. - An organizational chart detailing all Departments and roles/resources relevant to the business process and included in your BPMN. Don’t include individual names. - Comment on the design effectiveness of the business process and any concerns you have in terms of risks. 8. Business Activities For EACH transaction/activity performed in your business process, enter a completed activity worksheet. See Appendix 4. For each step: - Follow the numbering from your BPMN. - Under tools indicate whether existing ERP transaction; another system etc. - Insert a graphic supporting the step such as a screen capture or a form. - Indicate Master data required to support the step (eg. Customer; material etc.) 9. Process Improvement Discuss process improvements including: - Identify any risks with the existing process, suggest controls to mitigate them and how one would test these controls. - Identify the root cause of problems with the process. Explain process improvements and how they would solve these. - HR impact: Identify the changes in organisational structure, job descriptions and training needs required for the proposed changes. 10. Process Management Justify your choice and give the specifications for an operational report that will be useful to manage exceptions in the business process. Justify your choice and give the specifications for a management report to measure a KPI (Key performance indicator) for your business process. Justify your choice of KPI. 11. Conclusion In your approval you need to summarise your case to the steering team for continuing to the realisation phase. Make suggestions in terms of the total cost and benefit from the proposed changes. 12. Project Learnings In one page discuss what you learnt from this project. Also include problems you experienced with stakeholder management and how you resolved these. Reflect on what you would do differently if you were asked to do this assignment again. 13. Appendices Any relevant documentation you would like to include.
